The Polar Travel Company strongly advises that all travelers carefully read these Terms and Conditions, as all rights and obligations between The Polar Travel Company and each client will be governed by these as described here.

The Polar Travel Company acts only as an agent for its clients in securing reservations from the various non-affiliated hotels, transportation companies (this refers to said company and all Manager of the vessel, Owners, Operators, Charter companies, Sub-Charter companies, crew and staff of the vessel, or other means of transportation), sightseeing operators and other third parties and is in no way to be considered as the principal operator of these services.

The Polar Travel Company shall have no liability for loss, damage or injury of any nature, or for additional expenses or inconvenience derived from any delays, cancellations, omissions of a third party carrier, hotel operator, restaurant, another supplier of services or Acts of God.

The information on our website has been uploaded in good faith. The information (itineraries, prices, inclusions, etc) on our website comes from 3rd parties and The Polar Travel Company is not responsible for any changes in the itineraries or services provided by any 3rd party.

CHARTER OF A VESSEL

In case of a charter (booking of the entire trip and vessel) specific booking terms will have to be negotiated and agreed upon.

PAYMENT, DEPOSIT, AND CANCELLATION PROCEDURES

All rates are quoted per person in US Dollars as indicated, based on the indicated booking occupancy.

A deposit of 40% per person is required to confirm a reservation unless otherwise specified.

Final payments remain due 120 days prior to departure (unless otherwise specified) and once paid are non-refundable. Failure to do so will liberate the booking for sale to another client and the booking deposit will not be refunded.

The Personal Medical Information form duly filled and signed by the client should be received by The Polar Travel Company no later than 120 days prior to departure date, unless otherwise specified.

The payment of a deposit of any part or full payment for a reservation on any tour shall constitute consent to all the provisions contained herein. In case of cancellation, you must notify The Polar Travel Company in writing.

INSURANCE:

For all polar destinations/cruises Medical and Repatriation Insurance is Mandatory for all passengers taking part in the trip. This insurance will be required prior to boarding.

The Polar Travel Company strongly suggests to all of its clients to purchase trip cancellation and interruption insurance as protection against an emergency that may force you to cancel or leave an expedition or program before it starts or while it is in progress.

The Polar Travel Company strongly urges participants to check with their insurance agent to make sure that they are adequately covered for all eventualities. In case of a medical problem arising during the voyage, which results in costs for evacuation or repatriation, the responsibility for payment of these costs belongs solely to the client.

The Polar Travel Company strongly advises that clients ensure that such eventualities are covered by travel or medical insurance. If not covered by insurance, the responsibility still remains with the client and The Polar Travel Company specifically declines any responsibility whatsoever.

FOR CANCELLATIONS THE FOLLOWING TERMS WILL APPLY:

Any cancellation request has to be presented in writing.

For Third Parties such as but not limited to non-affiliated hotels, transportation companies (this refers to said company and all Manager of the vessel, Owners, Operators, Charter companies, Sub-Charter companies, crew and staff of the vessel, or other means of transportation), sightseeing operators, the corresponding party Terms and Conditions will apply.

In the event that the Third Party such as but not limited to non-affiliated hotels, transportation companies (this refers to said company and all Manager of the vessel, Owners, Operators, Charter companies, Sub-Charter companies, crew and staff of the vessel, or other means of transportation) or sightseeing operators accepts to refund through The Polar Travel Company, an administrative charge and/or bank fee will be deducted.

If payments are not received by the dates specified one above, The Polar Travel Company reserves the right to cancel a booking and withhold return of all payments received, unless a change in the payment schedule has been agreed upon by The Polar Travel Company.

The Polar Travel Company strongly suggests to all of its clients to purchase trip cancellation and interruption insurance as protection against an emergency which may force you to cancel or leave an expedition or program before it starts or while it is in progress.

Please note that all dates and rates are subject to change. We reserve the right to amend our prices. It could alter in the event of significant surface increases and/or marked fluctuations in the exchange rate upon which the land content is based or massive fluctuations in the fuel costs on which the cruise is based, among other reasons. Any increases in price must be paid by the client before the departure date.

INCLUSIONS and EXCLUSIONS

Due to the variety of cruises and tours we offer in our website and media channels, the inclusions and exclusions will be specified on each cruise/tour.

RESPONSABILITY:

By confirming the booking by, either email or by signature as set forth on the booking form, the client also acknowledges and confirms the following:

The client waives any and all claims he/she may now and in future has against, and release from all liability and agree not to sue The Polar Travel Company and its officers, employees, guides, agents or representatives (collectively its staff) or the licensor for any personal injury, death, property damage, or loss sustained by the client as a result of his/her participation in an adventure trip sold by The Polar Travel Company.

A tight time-schedule connection with an Antarctic or Arctic expedition is unwise. For this reason, The Polar Travel Company strongly suggests that a flexible air ticket be held for your journey. In no case is The Polar Travel Company responsible for any expense or penalty incurred by the client deriving from a change in the starting or ending dates of the Travel Program.

Participants should understand that there are certain known and unknown hazards involved in such expeditions, which they must accept voluntarily at their own risk.

The Polar Travel Company strongly urges participants to check with their insurance agent to make sure that they are adequately covered for all eventualities.
